Refund & Return Policy

This Refund & Return Policy explains how cancellations, changes, and refunds work for bookings made with Sea Turtles Sri Lanka Conservation Project (“we”, “us”, “our”) through www.seaturtlessrilanka.org.

Because we provide experiences and services — volunteer stays, conservation tours, and activities — rather than physical products, this policy covers booking cancellations and refunds in place of a traditional product “return.”

1. Bookings & Payment

When you complete a booking and payment, you will receive a confirmation email with your booking details. Your reservation is only secured once payment has been received and confirmed.

2. Cancellations by You

If you need to cancel your booking, please notify us as early as possible in writing (by email or WhatsApp). The refund you receive depends on how far in advance you cancel before your scheduled start date:

  • 30 days or more before the start date — full refund, less any non-refundable payment processing fees;
  • 15 to 29 days before the start date — 50% refund;
  • 14 days or fewer before the start date — non-refundable.

3. Cancellations or Changes by Us

In rare cases, we may need to cancel or reschedule a booking due to weather, safety concerns, low participation, or circumstances beyond our control. If this happens, you may choose to:

  • Reschedule to another available date at no extra cost; or
  • Receive a full refund of the amount you paid.

4. Rescheduling

If you would like to change your booking date, please contact us at least 14 days before your scheduled start date. We will do our best to accommodate your request based on availability. Rescheduling is subject to availability and cannot be guaranteed.

5. Airport Pickup & Dropoff Add-On

Where an airport pickup and dropoff add-on has been purchased, it is refundable under the same cancellation timeframes set out in Section 2, provided the transfer has not already been arranged or carried out. Once a transfer has been scheduled with our driver, the add-on fee becomes non-refundable.

6. No-Shows & Late Arrivals

If you do not arrive for your booking and have not contacted us in advance, the booking will be treated as a no-show and is non-refundable. Late arrivals may result in a shortened experience without a refund for the missed portion.

7. Donations

Donations made to support our conservation work are voluntary and non-refundable. If a donation was made in error, please contact us as soon as possible and we will review the situation.

8. How to Request a Refund

To request a cancellation or refund, please contact us using the details below and include:

  • Your name and the email used for the booking;
  • Your order/booking number;
  • The package or tour booked and the scheduled date;
  • The reason for your cancellation (optional, but helpful).

9. Refund Method & Timeframe

Approved refunds are issued to the original payment method used at the time of booking. Once approved, please allow up to 7–14 business days for the refund to appear, depending on your bank or payment provider’s processing time.

10. Payment Processing Fees

Payment gateway or transaction fees charged at the time of booking may be non-refundable, as these are retained by the payment provider. Where applicable, such fees will be deducted from your refund.
